Workflow Response Templates

We use generic templates to decline, approve and send back workflows to the requestor for various reasons. We are currently copying and pasting these templates from a One Note page to workflow however it would be great if we could add templates into workflow to select (similar to SMS templates) instead of going between 2 programs.

Thanks Shaunette - if we can please leave this canny open for a development of a drop down reason to be selected when sending to another approval group and an increase of the word count.

At present we do not have the ability when sending to another approval group for a drop down reason to be selected.
To increase the word count, would need to be discussed with the team
Also enable decline reason would be available in all documents, not just generic request

Hi Shaunette, thanks for the feedback. This looks very close to what we are after - I assume this is already possible for comments when approving a workflow too? i guess my next question is, would there be an opportunity then of creating a drop down of 'reasons' to send back to the requestor via 'send to another approval group' - i have attached a snippet of what i mean. I assume this is already possible for comments when approving a workflow too? s there also a possibility of increasing the word count at all?

I had added the steps for you, but I forget to send.
In workflow there is a parameter called enabledeclinereason - I have turned this on in staging
Then in Config | Generic lookup you can add the Decline Reason - be mindful that there is a character limit of 200.
You can test in staging to see if this is what your want, but the decline reason is then used at the bottom of the workflow request and that is added to the email template

Hi Shaunette, can you please advise how this is already possible? There are email templates currently however these are specific to the document/action being taken. As the team uses many varying responses in their workflow returns I don’t think it would be possible for the workflow to know which response to use that relates to each action therefore I think if the team had the option to choose from a dropdown inside the workflow this would be a better option.
